Privacy Policy

JCIC Asset Management, Inc. is required by legislation to know our clients so that we are familiar with their circumstances and how these relate to their investments. The information we collect via client consent is to assist us in managing portfolios towards client objectives, to facilitate payment requests and to comply with Federal Anti-Money Laundering regulations.

We are highly sensitive to the confidential nature of the information we collect and thus maintain the following procedures to assure privacy and accurate records.

Procedures

We endeavour to keep client information up-to-date and to limit our collection to only information necessary to fulfil our responsibilities to our clients. As part of JCIC Asset Management, Inc., clients are required to sign forms evidencing their consent to the collection, use and disclosure of their personal information.

Personal information will not be used for a purpose not previously identified without client consent.

Information that JCIC Asset Management, Inc. has collected is deemed to be confidential and is not shared outside of the firm except with our auditors; where we are required to by law; when client consent is provided (i.e. to client accountants) and to service providers with appropriate safeguard policies and procedures.

Employees of JCIC Asset Management, Inc. and suppliers are each bound by confidentiality agreements to keep client information private.

Personal information shall be protected by security measures appropriate to the sensitivity of the information. Our premises are protected by building security, namely:

  1. office doors are magnetically locked at all times requiring secure pass cards.

  2. elevator passes are required after 6:00pm to 7:00am.

  3. building security personnel perform walk-throughs outside of business hours.

Electronic files are protected by routers, passwords, anti-virus software, 24/7 network monitoring, offsite servers in high security facility, and a cyber security threat protection service. Client physical files beyond 3 years old are stored at a secure external storage facility.

Clients may have access to their information stored at JCIC Asset Management, Inc. and if they have any concerns or issues regarding their information, its use, accuracy or storage they may contact our Privacy Coordinator, who will refer complaints to the President.

Some technology, including the client online portal is maintained and protected by a technology partner located in the USA.
